About Compress PDF: key facts and tips

Key facts

Compress PDF to 500 KB is a Documently preset for complete application packets: a filled form with annexures, a full set of certificates, a project report, a bank statement or a rent agreement. The preset keeps the PDF under 500 KB, light enough to email or send on WhatsApp over 4G. Because 500 KB is generous, the compressor often stops at 150 or 120 DPI, close to the original on screen, and goes as low as 40 DPI only for heavy files. In our tests, we measured a 6-page scanned PDF of 5.16 MB reaching 284 KB in 7.0 seconds. PDFs of up to 200 MB can be opened, and processing happens on the device with Ghostscript compiled to WebAssembly, so Aadhaar numbers, marks and signatures are never uploaded. Very long colour scans of 40 or more pages may not fit at a readable quality. Arrange the pages with Merge PDF, then compress here.

500 KB is a comfortable limit for a complete application packet: a filled form with annexures, a full set of educational certificates, a project report or a rent agreement. It's also a sensible size for sending documents over WhatsApp or email on a slow connection. This page is preset to 500 KB and runs in your browser, so nothing is uploaded.

Where a 500 KB PDF makes sense

This size suits documents with many pages that still need to look good: a complete application with all enclosures, an affidavit with stamp paper, a bank statement, a project synopsis or an internship report. Several portals use 500 KB for document uploads, and it keeps email attachments light enough to send from a phone on 4G.

Because 500 KB is fairly generous, the compressor can often stop at 150 or 120 DPI, which looks close to the original on a screen.

Expect different results for different PDFs

  • Digitally created PDFs (exported from Word or a government website) are mostly text and often already small. If yours is under 500 KB, you get it back unchanged.
  • Scanned documents shrink the most, because nearly all of their weight is high-resolution images.
  • Photo-heavy PDFs, such as a brochure or a portfolio, may need a lower resolution to fit — check the pictures after compressing.
  • Very long scans of 40+ pages may not reach 500 KB at a readable quality. Split them, or check if the portal allows several uploads.

Why compress in the browser instead of on a server?

Application packets carry your Aadhaar number, marks, address and signature. With this tool the PDF is processed on your own device by Ghostscript compiled to WebAssembly. It is never uploaded, so there's no copy sitting on someone else's server afterwards.

The trade-off is that your phone does the work. A 50 MB scan may take a little longer on an older phone, but it doesn't use any extra mobile data beyond loading the page.

Quick checklist before you upload

  • Pages in the order the form lists them (use Merge PDF to arrange).
  • No sideways pages (fix with Rotate PDF).
  • Final size shown on the result card is under 500 KB.
  • Smallest text — dates, registration numbers — still readable when zoomed in.

Frequently asked questions

How do I compress a PDF to 500 KB for email?

Choose the PDF, keep Under 500 KB selected, and tap Compress to under 500 KB. Download the result and attach it. At 500 KB the file sends quickly on mobile data, and the recipient can open it without downloading a heavy attachment.

Why is my compressed PDF still above 500 KB?

It may have many colour pages or large photos. The tool goes down to 40 DPI and then reports if it still can't fit. Try Black & white mode, or remove pages that aren't needed with Split PDF, and compress again.

Does compressing to 500 KB lose quality?

Usually very little that you'll notice on screen. Images are resampled only as much as needed to get under 500 KB, often stopping at 150 or 120 DPI. Text stored as text stays perfectly sharp.

Is there a file size limit for the original PDF?

You can open PDFs of up to 200 MB. Since processing happens on your device, very large files take longer on older phones. If the page feels slow, try on a laptop or split the file first.
